Affinity Events was in Bournemouth for the Association of British Neurologists annual meeting this month. The team provided a full event management package including production management, delegate registration, venue management, health and safety management and much more.

Affinity also organised an exhibition of 25 Pharmaceutical companies and a wide range of charities, as well as the event’s gala dinner.

We look forward to working with the ABN on their meetings in 2011 and 2012.

Lambeth Conference

Following our appointment as the Lambeth Conference event manager, Affinity started an 18-month planning process with the conference organisers. Regular meetings took place with various teams including: emergency services; infrastructure suppliers; venue managers; stewards; technical suppliers; local authorities in Canterbury and London; catering co-ordinators.

This communication between groups of interested people led to the compilation of a complex operating plan for the conference, supplying everyone with relevant information to ensure the effective delivery of the conference.

The planning process culminated in the conference build starting 10 days before the arrival of the delegates, with the main venue being specifically designed and built for the Lambeth Conference.

The Conference lasted for three weeks with delegates taking part in plenary and group sessions. Affinity set up an exhibition area for 45 exhibitors . A full, three-week programme for the bishops’ spouses and over 60 fringe events became an integral part of the overall programme. Affinity Events managed the Walk of Witness, one of London’s biggest faith demonstrations supporting the delivery of the Millenium Goals, as part of the conference activity.

UKEMS, NordEMS, MEG & IGG 2008 International Joint Congress

After the success of the 2007 conference, we have completed a second conference with UKEMS.  Every year the event has a different local organiser, so UKEMS have found using Affinity particularly useful in terms of guaranteeing quality, professionalism and ensuring that continuity is maintained.  In order to enable UKEMS to save on the budget this year, it provided a number of volunteers to work in the Affinity team, reducing the onsite staffing requirement and overall cost.

The four-day event involved 130 delegates, an exhibition, poster display and conference dinner.  Affinity handled all logistics including registration, abstract management, technical, printing, accommodation, transport, venue liaison and on the day management.

Association for Coaching Conference Spring 2008

The Association for Coaching is a long-standing client of Affinity Events and we were delighted to be involved in its expanded UK conference again this year.  We provided delegate registration, onsite delegate services and onsite management. We also provided a specialist in technical services who supported the 30+ speakers in their PowerPoint and video presentations, resulting in a smooth and stress-free conference for the speakers and conference organisers

Second Year for AOG Conference - Winter Gardens Blackpool

For the second year, AOG have appointed Affinity Events as their event management company, to assist with the planning and management of their 2006 conference. AOG appointed Affinity to look after all delegate registration and management with online, phone and post bookings being taken by Affinity on behalf of AOG.

Affinity also worked closely with the conference planning team to design and deliver the event, which took place at the Blackpool Winter Gardens and was attended by approximately 2,000 delegates.

Our production team also worked with AOG to ensure that the technical requirements of the event were fully met – and with over a dozen separate venues – from the main auditorium to a youth venue and the exhibition and children’s zones a large technical requirement was designed, managed and implemented by Affinity.

In total, Affinity Events provided an event and production management team of half a dozen staff to support the four day conference.

Acevo Conference

Attended by over 400 Chief Executives and with a keynote from Cherie Blair, Affinity Events were approached to undertake all technical aspects of this high profile conference.

With a main room seating over 400 conference style, 6 breakout rooms, a foyer area and an exhibition the team of 8 technicians and two managers were kept busy.

Due to time constraints all equipment was rigged overnight, for a full day’s conference and removed again - all within a 24 hour period.

Wales Open - Ladies Day Club Night

Ladies Day was a new venture in 2005 for the Wales Open, so organisers had a lot resting on the event. Affinity Events were approached, as part of their ongoing work with the venue, to provide a club night theme for the evening entertainment.

Affinity provided all of the draping to enclose the club room, to separate it from the rest of the main hotel suite in the venue. With lighting, sound and video systems provided by Affinity, as well as a number of inflatables, and a fantastic light-up dance floor, the guests were seen to have an excellent time.

Affinity removed the hassle and stress from an already busy Wales Open team to ensure that the event went smoothly.

Conference Dinner

Marquee Events

When the conference team at one of the country’s leading trade associations chose Cardiff as the venue for their 2004 conference, there was only one problem - there was nowhere in the city that could cater for the conference dinner - with 760 attendees. The association contacted Affinity Events who proposed a clearspan marquee system, temporary kitchen and toilets.

A team from Affinity were on site for a week building and preparing the site, before returning it to its previous condition.

The pictures show the event laid 24 hours before the guests were due to arrive.
